Guidelines for Electronic Filings Other than SERFF

 

The Arkansas Insurance Department is accepting rate and form filings in various electronic formats.  Our preference is that they be submitted on SERFF but we will also accept filings by email, on diskette, or CD-ROM if they are submitted using Adobe Acrobat 5.0, Microsoft Office 2000 or earlier which includes Word, Excel, and Access.

 

1.           E-mail submissions should not exceed a combined size of 5 Mb.

2.           Submitting information in a PDF (read only) format may prevent conversion problems

3.           Use CD-ROM’s with Read only capability

 

Filings may be e-mailed to the analyst depending on the line of business.  For more information, please click here.

 

Fees:

 

SERFF filing fees have been waived until further notice.

 

The fees for all other electronic filings have not been waived and will be the same as a paper filing.

 

E-mailed filings should have the fee amount noted in the e-mail and in the envelope with the fee mailed to the Department you must include a copy of the cover letter, email, or transmittal header showing to what filing it should apply .  The filing will be processed after the fee is received.

 

Helpful Hints:

 

1.         E-mailed filings should have the following info in the Subject line of the email:

Line of Business—Lead Company Name—Company Filing #

Example:        Commercial Auto--ABC Insurance Company—CA-01-END03

 

2.         E-mailed filings—You may use the e-mail as your cover letter as long as you provide the same information in it that a cover letter would contain:

 

Example:      

ABC Insurance Company    NAIC #:  12345

CDE Insurance Company    NAIC #:  23456

Commercial Auto Liability

Loss Costs Filing

Company Filing #:  CA-01-02-02

Requested Effective Date:  07/01/2002

 

Then insert body of cover letter.

 

Due to the limitations of email, we will not be able to email you a copy of the filing bearing a “filed” or “approved” designation.  We will be able to email you when the filing has been filed or approved.
